The information we collect depends on how the Service is configured, which features you use, and how you interact with it.
Information You Provide
We may collect:
- Account and profile information, such as your name, email address, profile image, preferences, and account settings
- Authentication information, such as password hashes, verification records, linked sign-in provider details, and information needed to secure or recover your account
- Source media and file metadata, including audio or video files you submit for transcription and related file names, formats, sizes, content types, and upload information
- Transcription content and job information, including generated text, processing status, service identifiers, timestamps, requested options, and error information
- Contact and support information, such as your name, email address, message, feedback, sample content you choose to share, and related correspondence
- Transaction information, such as the plan or product selected, customer and subscription identifiers, order status, invoice references, billing period, usage allowance, and payment status when paid features are offered
- Other information you choose to provide through forms, surveys, promotions, or communications
Source media and transcripts may contain voices, statements, names, or other information about you or other people. You are responsible for ensuring that you have the rights, notices, permissions, and consents required to submit that content for transcription.
Information Collected Automatically
When you use the Service, we may automatically collect:
- Device and network information, such as IP address, browser type, operating system, device characteristics, and User-Agent
- Usage and log information, such as pages viewed, interactions, request times, upload and transcription events, referring pages, errors, and security events
- Session and preference information, such as authentication status, language, theme, and interface settings stored through cookies or similar technologies
- Attribution information, if enabled, such as campaign parameters, referral source, landing page, advertising click identifiers, approximate country or region, language, time zone, and network organization
- Analytics or advertising information, if those features are enabled, such as page interactions, device identifiers, cookie identifiers, and ad measurement data

Information from Service Providers and Other Third Parties
We may receive information from third parties when you use an enabled integration or when a provider performs a function for the Service. For example:
- An authentication provider may provide your identity, email address, profile information, provider account identifier, and authorization information
- An automated transcription service provider may return generated text, processing status, technical metadata, service identifiers, and error information associated with your request
- A payment processor may provide customer, transaction, subscription, invoice, tax, fraud-prevention, and payment status information
- Analytics, advertising, referral, hosting, security, or communications providers may provide interaction, delivery, device, campaign, or security information when those capabilities are enabled
- An organization that gives you access to the Service may provide account or membership information
3. How We Use Personal Information
We may use personal information to:
- Receive, validate, store, and retrieve source audio or video for a requested transcription
- Process source media with automated transcription technology and return the resulting text
- Create, update, display, troubleshoot, and administer transcription jobs and results
- Provide, operate, maintain, and improve the Service
- Create, authenticate, secure, and administer accounts
- Process requests, purchases, subscriptions, credits, usage allowances, and transactions
- Send transactional messages, such as verification, security, account, billing, transcription-status, or service communications
- Respond to inquiries, feedback, and support requests
- Personalize settings and remember preferences
- Measure performance, understand use, attribute visits, and improve features when the relevant capabilities are enabled
- Display, measure, or improve advertising when advertising is enabled
- Detect, investigate, and prevent fraud, abuse, security incidents, unlawful content, and violations of our Terms of Service
- Comply with law, enforce agreements, and establish, exercise, or defend legal claims
- Protect the rights, safety, and integrity of users, third parties, service providers, and the Service

- To perform a contract, including accepting files, generating transcripts, providing accounts, processing purchases, and delivering support
- For legitimate interests, such as securing, maintaining, troubleshooting, analyzing, and improving the Service, provided those interests are not overridden by your rights
- To comply with legal obligations, resolve disputes, and enforce agreements
- With your consent, where we request it for a specific purpose
- To protect vital interests or the public interest, where applicable
If processing relies on consent, you may withdraw it at any time. Withdrawal does not affect processing that occurred before withdrawal or processing supported by another lawful basis.
5. How We Disclose Personal Information
We may disclose personal information only as reasonably necessary for the purposes described in this policy:
- Hosting and infrastructure providers that operate networks, databases, computing, monitoring, and security services
- Storage providers that receive and hold source media, transcripts, profile images, or related files
- Automated transcription service providers that process source media and return text, status, metadata, and errors needed to complete a transcription request
- Authentication providers when you choose an enabled sign-in method
- Payment and billing providers when paid features are offered or purchased
- Email, support, and notification providers when communications or operational notifications are enabled
- Analytics and attribution providers when measurement or attribution features are enabled
- Advertising providers when advertising features are enabled
- Professional advisers and vendors, such as auditors, insurers, legal advisers, and contractors that support our operations
- Authorities or other parties when reasonably necessary to comply with law, protect rights or safety, prevent abuse, or respond to lawful process
- Transaction participants in connection with a proposed or completed merger, acquisition, financing, reorganization, bankruptcy, or transfer of the Service
- Other parties at your direction or with your consent
Service providers receive information only when their related capability is enabled or used and only as needed to perform their functions. Depending on the function, this may include source media, generated transcripts, file metadata, account information, technical identifiers, or transaction details.
Some laws use terms such as "sale," "sharing," or "targeted advertising" for certain transfers involving analytics or advertising, even when no money is exchanged for personal information. If those activities are enabled and those laws apply, you may have the right to opt out as described in Section 10.
6. Source Media and Transcripts
When you request a transcription, your source media may be uploaded to private storage and made available through restricted, time-limited access to an automated transcription service provider. The provider processes the media and returns the transcript and related job information needed to complete your request.
We use source media and transcripts to provide the transcription you requested, maintain the related job, return or store the result, investigate errors, protect the Service, and comply with law. We do not make source media publicly available through the Service unless you separately choose a feature that expressly does so.
The people speaking in source media may not be Service users. If you submit information about another person, you are responsible for giving any notice and obtaining any permission or consent required by applicable law.
7. Payments
When paid features are available, payment processors may collect payment credentials directly under their own privacy policies. We do not need to receive or store complete payment card numbers when the processor handles them directly.
We may retain transaction records such as customer, subscription, checkout session, invoice, product or price, payment status, billing period, usage allowance, and cancellation information to provide paid features, maintain records, prevent fraud, and comply with legal obligations.
8. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy.
Source audio and video are intended for short-term processing. We delete source media from active storage when it is no longer reasonably needed to complete or retry a transcription, investigate a problem, protect the Service, or comply with law. Incomplete, abandoned, or otherwise unclaimed uploads may remain for a limited period until automated storage-lifecycle controls remove them.
Transcripts, transcription job records, account information, and transaction records may be retained while your account remains active or as needed to provide requested features. If you delete your account or make a valid deletion request, associated information will be deleted or de-identified unless retention is reasonably necessary for security, fraud prevention, billing, dispute resolution, enforcement, backup integrity, or legal compliance.
Retention may also depend on:
- The type, sensitivity, and amount of information
- Whether a transcription is pending, completed, failed, or under support review
- Security, fraud-prevention, backup, and business-continuity needs
- Contractual, accounting, tax, dispute, and legal requirements
- Whether an exception applies to a deletion request
Service providers may retain limited information according to their service obligations and applicable legal requirements. We may retain aggregated or de-identified information where it can no longer reasonably identify you.
9. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information and User Content. These measures may include private storage, restricted access, time-limited access mechanisms, authentication controls, and monitoring appropriate to the relevant feature.
However, no system, transmission, processing method, or storage method is completely secure, and we cannot guarantee absolute security. You are responsible for using a strong, unique password, protecting your credentials, and promptly notifying us of suspected unauthorized access.
10. Your Privacy Rights and Choices
Depending on where you live, you may have rights to:
- Access personal information we hold about you
- Correct inaccurate or incomplete information
- Delete personal information, including eligible account or transcription information
- Restrict or object to certain processing
- Receive a copy of information in a portable format
- Withdraw consent where processing relies on consent
- Opt out of certain sale, sharing, targeted advertising, or profiling activities
- Appeal a decision concerning a privacy request
- Lodge a complaint with a data protection or privacy authority
You may use available account controls or contact us to make a request. We may need to verify your identity and authority before acting. If your request concerns a recording or transcript submitted by another user or organization, we may direct you to that user or organization where appropriate.
Rights are subject to conditions and exceptions under applicable law, and we will respond within the period required by that law. We will not discriminate against you for exercising a privacy right where prohibited by law.
Where the Service provides consent, advertising, or privacy controls, you can use them to manage the activities described in the interface. Browser and device settings may provide additional controls for cookies and similar technologies.
11. International Data Transfers
The Service and its providers may process information in countries other than the country where you live. Those countries may have different data protection laws.
Where applicable law requires safeguards for international transfers, we use an approved legal mechanism or other appropriate safeguards. You may contact us for more information about safeguards relevant to your information.
12. Children's Privacy
The Service is not directed to children under 13 or any higher minimum age required by applicable law. We do not knowingly collect personal information from children below that age.
If you believe a child has provided personal information, or appears in source media submitted without appropriate authorization, please contact us. We will take appropriate steps to investigate and delete information where required.
13. Third-Party Services and Links
The Service may link to or integrate with independently provided third-party services. Their privacy practices are governed by their own policies, and we are not responsible for products or services we do not control.

We may update this Privacy Policy to reflect changes to the Service, our practices, or applicable law. We will post the updated policy on this page and revise the effective date.
